To create a new appointment, navigate to the main Menu.
Click Visitor Appointments.
This will take you to the Visitor Appointments landing page, here you'll find all of your upcoming appointments. To create a new appointment, Click New Appointment.
Provide a Title to let your visitors know about the purpose of their upcoming visit.
Further information for the visitor appointment can be provided in the Description. This will be included in the email notification sent to the visitors.
Next we will Select a location for the meeting.
To select a date, use your keyboard to type in the appointment date or click the Calendar Icon to select the date from a calendar for your visitor appointment.
To select a start time, use your keyboard to type in the appointment start time or click the Clock Icon to select the start time from a 15 minute interval time picker.
Next let's set a duration for the visitor appointment, to do so, click the chevron to provide a duration.
Additional information can be shared with the building reception team.
Additional information can be shared with the tenant reception team.
Additional Information can be shared directly with the Visitor - This is included in the email notification sent to the visitors.
The appointment host will default to the user creating the appointment. A notification can also be set for the host to receive an email when the visitors check-in at the building reception.
Now let's add some visitors, to do so, Click the + Add Visitors button.
Being to provide the visitor information starting with the visitors First Name and Last Name.
Providing an Email address for the visitors will ensure they receive an email containing information related to their visitor appointment.
Once the visitor information has been provided, click Add Visitor.
Repeat the process to add all visitors.
Confirmation is shown for visitors added to the appointment.
Frequently invited visitors are displayed within the suggested visitors section. Click Add besides the suggested visitors to quickly add them to the appointment.
Confirm the details and visitors for your upcoming appointment are correct, then click Submit to create the visitor appointment.
Confirmation will be displayed for the newly created visitor appointment. Click Done.
The newly created appointment will be displayed on the visitor appointments landing page, alongside any other existing scheduled visitor appointments.
Clicking the Meeting Title will display a summary of the visitor appointment.
Click Done to close the appointment summary.
Further appointment options are also available via the meatball menu for each appointment.
The appointment can be Edited to reflect any changes - Editing the appointment will resend the visitor appointment information to visitors.
The appointment can also be Cancelled. A appointment cancellation email will be sent to visitors.
The user will be requested to confirm the cancellation of a visitor appointment.
