Navigating Appointments

To access Visitor Appointments, open your building platform and select Appointments from the left hand menu.

Here you will see a list of your appointments.

Recurring appointments will be displayed with this icon.

Use the search bar to find a specific appointment or use the filters to narrow down your view.

Export your appointment list to a CSV file using the download icon. This will be sent directly to your email.

Inviting a Visitor

Select the New Appointment button from the Appointments page.

Provide a title and optional description for your invite.

Add a location. If your company occupiers more than one floor, you’ll need to select the relevant location from the drop down provided. Otherwise, this will be pre-populated for you.

Add the date, start time and duration using the date picker and drop downs provided.

To create a recurring invite, select the frequency to repeat the invite using the drop down.

A pop-up widget will display for you to customise your recurring meeting. A summary will display at the bottom of the widget for you to confirm the details are correct.

Press Done to confirm.

Add any notes for your building reception team, company reception team and/or visitor, if required. Visitor notes will be included in their email invitation (if an email address is provided).

Next, add visitors to your appointment by either selecting the Add Visitors button or if adding multiple visitors you can use the Bulk Upload button.

Recently added visitors will be remembered so you can include them again easily.

Select Add Visitors to add the visitor to the appointment. When you’ve added all of your visitors, press Done.

You’ll need to include the visitor’s first and last name as a minimum. If you would like your visitor to receive an invitation email or a QR code to access the building (if applicable at your location), you’ll need to add their email address here too.

If you don’t want to receive a notification when your visitor checks in at reception, select the 3 dots next to your name in the host section and choose Don’t notify when visitor checks in .

Once you have completed the appointment, press Save.

Saved appointments will be visible on the Appointments page.
