Context

We need a new permissions service for our platform for several reasons:

1. Scalability: As our platform grows, we face the challenge of managing permissions for an increasing number of users and resources efficiently. A new permissions service will help us scale effectively.

2. Fine-Grained Access Control: We require more granular control over who can access specific resources and perform particular actions. A new permissions service allows us to achieve finer control and customization.

3. Compliance and Security: Regulatory requirements and security standards are constantly evolving. A new permissions service will be designed to align with the latest security practices and compliance standards, ensuring the protection of sensitive data.

4. Flexibility and Customization: Our existing permission systems does not offer the flexibility needed to adapt to changing business rules and requirements. The new service is tailored to meet our unique platform needs.

5. Improved User Experience: We aim to provide our users with a better experience by simplifying the process of granting and managing permissions, reducing friction, and ensuring that users only have access to what they need.

6. Integration with New Features: We plan to introduce new features or modules to our platform, and a new permissions service will seamlessly integrate with these additions, ensuring that permissions are correctly managed across all functionalities.

7. User Feedback and Usability: User feedback clearly indicated that our old permissions system was confusing or not user-friendly. The new service is designed with usability in mind to improve user satisfaction.

8. Future-Proofing: We want to ensure that our permissions service is adaptable to future changes and innovations in technology, making sure that our platform remains competitive and relevant.

What does it mean?

In recent months, we have been delivering updates related to User Management, Split between Roles & Groups, Role Assignment. These releases are part of our ongoing efforts to develop our new permissions service.

We expect that the majority of this work will be finalized by the end of 2023, with a few remaining tasks, such as the Bookings Manager role, which will continue to be addressed by individual product squads as part of our product development requirements.

What's happening this month (September)?

1- Issue for Site Managers in Admin Panel: Fixed Today

We identified and fixed the bug in Admin Panel that prevented Site Managers from accessing/searching users. This issue arose as we worked on introducing Workplace Manager capabilities in Equiem One. We'll maintain this functionality until the below changes are implemented.

2- Release User Management to Workplace Managers in Equiem One: On Hold (~ 3 to 4 weeks)

As a result of the above, the Workplace Manager capabilities cannot be released until we remove access to manage users & companies in Admin Panel for Site Managers.

3- Merging Site Managers and Property Managers: Scheduled for the week of September 19th

Starting in the week of September 19th, we'll begin merging the roles of Property Managers and Site Managers. We expect to release this change in the week of September 25th. We'll provide further updates as the release date approaches, but you can start planning for this transition now.

What this means:

• Existing Property Managers won't experience any changes (no communication needed).

• Site Managers will automatically receive the Property Manager role, granting them access to manage user and company settings (no manual role assignment required). They will therefore receive the Bookings Confirmation emails (there are easy ways to filter these emails

• Property Managers will be able to access Admin Panel if they need to access site settings, taxonomy etc. We will add a redirect to Equiem One from Admin Panel User Settings.

• Regional Managers will retain access to manage users across all sites in Admin Panel. If they need to manage users on a site-by-site basis, they will need to use EQ1.

Further Updates - 14/11/23
