Creating Company Memberships

Log in to Equiem One, and ensure you are logged in as a Flex Manager.

 

  1. Open the Members page from the left hand menu

  1. You’ll see a list of the existing company memberships for the Flex Operator across all locations. Click + Add Membership to create a new membership.

  1. A pop-out window will appear to capture the details of the new member company

  1. Type the company name to search the company catalogue. Click Add next to the company name of the company you want to create a membership for.

If the company is not available in the drop down list, you’ll be presented with a Create New option. Select this to add new company information.

Fill in the required fields in the new company form.

This will include selecting an industry from the drop down list provided and selecting how users should be approved:

  • Manual Approval - you will be notified when any new user registers from this company and will need to manually approve their account

  • Approve Automatically - users will be automatically approved upon registration

If you choose for users to be automatically approved, we recommend adding approved domains for this company. Users who register using an email address with an approved domain will be automatically registered, and users who use another domain will require manual approval.

Add approved domains using the Add Domain button.

Once complete, press Create Company

  1. Name the membership

  2. Set the Move In Date and Expiration Date

  1. Indicate whether the membership has a limited number of seats.

What are seats?

If the seats are unlimited, the number of users that can be added to the membership will be unlimited.

If the seats are limited, only the specified number of people can be connected to the membership.

  1. Indicate the monthly credit allowance for the membership. If you are not using credits - for example if your members need to pay by card or your bookable spaces are free of charge - you can leave this as 0.

  1. Click Add Buildings to move to the next step.

  2. Click + Add New Building and use the drop down to select the building/location the membership should be connected to.

    Once a building has been selected, select a level.

Repeat this process if the membership covers multiple buildings/locations.

  1. Click Add Company Details to move to the next step.

  2. Type the email address of the key contact for this company - they will be granted the Workplace Manager role, which will enable them to manage their users and credits etc.

  1. Add the Billing Address for the company

 

  1. Add the Billing Information for the company, including a billing contact email address and company business name.

 

  1. Click Add Membership to complete this company membership.
