Summary: A new feature in Equiem One allowing property managers to segment spaces for their users to be able to raise requests (Via WebNG/Mobile).

Overview

The Segmentation Feature for Request Management empowers Property Managers and Flex Managers to define and manage private or public spaces within their buildings. This feature introduces the ability to segment spaces for targeted audience access, streamlining how requests for these spaces are available for selection when raising a new request ensuing the right flexibility for Property Managers and Flex Managers to show relevant spaces to end users.

Segmentation allows Property Managers to classify spaces as either public or custom (private) spaces, enabling specific groups or individuals (e.g. companies, buildings levels) to access and raise requests against spaces.

Segmentation allows Flex Managers to classify spaces as either member or custom (private) spaces, enabling specific groups or individuals (e.g. memberships) to access and raise requests against spaces.

This improves building management controls, improving request creation efficiency, end users and tenant satisfaction and improved flexibility to capabilities within the Request Management system.

Property Managers will have the ability to manage buildings, levels and subsequently spaces for the purposes of managing segmentation.

Spaces reflected as “Building” Spaces will be available to all building users where their company is enabled against the building. These spaces will be visible to the Flex Manager but non-editable.

Flex Managers will only have the ability to manage buildings, levels and spaces that are available to the Flex Operator for the purposes of setting up “members” and “custom” segmentation audiences.

Creating and Managing Segmentation Configuration

Where to Configure Segmentation

Segmentation is managed at the Space level within the Equiem One platform. Follow the steps below to configure:

  1. Navigate to Settings: Go to Equiem One > Settings > Buildings > Levels > Spaces.

  1. Select a Space: Choose an existing space or create a new one.

  2. Define Segmentation setting: Under the segmentation settings, select the desired visibility option for the space:

    1. Building: The space is visible and accessible to all users in the building.

       

    2. Custom: Provide access to all site users or create and configure custom audience segments to limit access to specific groups, such as tenants or other segments.

  3. Assign Audience Segments (for Custom Spaces):

    1. Select audience groups or individual users from your tenant database.

  4. Save changes to apply the segmentation configuration.

Additional Options:

  1. Editing Segmentation Rules: Update audience assignments at any time to reflect changes.

  2. Deleting Spaces: Remove a space to maintain the configuration following changes to the building and/or tenants.

What if I select “Building” when configuring Spaces, who will see it available for selection when creating a new request?

Users where their company are enabled against a building will be able to raise request against building spaces.

What happens if I assign a user to multiple custom spaces?

Users assigned to multiple custom spaces will see and interact with all relevant spaces when creating a new request via either Mobile/Web create new request workflows.

Can segmentation be applied retrospectively to existing spaces?

Yes, segmentation rules can be added or updated for existing spaces. Any changes will take effect immediately.

What if a user isn’t assigned to any segment?

Users without segment assignments will only see public spaces by default.

How does this impact reporting?

Segmented spaces provide granular data in reports, allowing managers to track requests and usage trends for specific spaces and audiences.

Can I change a space from custom to public?

Yes, spaces can be reconfigured from custom (private) to public at any time through the segmentation settings.
