Adding Users with the Magic Link

The Magic Link is a customizable link or QR code that you can share within your organization. You can also remove restrictions to allow broader access. Invitees can click the Magic Link or scan the QR code to quickly register as organization members.

If you're a Company Admin, you can simplify user addition using the Magic Link—an exclusive invitation link that saves time for both you and your invitees.

Benefits for you:

  • Quick and easy registration via the provided link or scanned QR code, even from posters within the organization.

  • Immediate access to the member's dashboard upon registration.

  • Thanks to the integrations, members who register and use the link later will not be asked to type their password.

Setting Up the Magic Link

To set up an invitation link, you must have the role of a Company Admin.

To be able to generate the Magic Link:

  1. Go to your admin page at https://{yourOrganizationName}.spaceos.io/

  2. Choose the tab Members on the left-hand side menu and click “+” (invite new members).

  3. Turn on the option Enable the invite link and share it with your team.

  4. Now you can add the email addresses directly in this pop-up and click Send Invitations. You can also copy the invite link below (if you use a mobile device, you can copy the QR code) and send it to the members of your organization later, so they can start the sing up process.

If you enable restrictions, you can only invite members who share the same organization name as you. E.g. if your email address is abc@topcompany.com, only members who have mailboxes ending with @topcompany.com will be able to use your link and become a member of your organization.

If you disable restrictions, anyone can join your company, when they have the magic link (or QR code).

  1. The invitation links that you sent will go to your organization members' mailboxes and you will see their status in the Members dashboard. If the link was successfully sent and the member has not taken any astion, its status is PENDING. If the member accepted the invitation, their status is JOINED.

  2. The members of yor company will get the email with the link. When they click it, they will see the registration form.

The form below is only the example form that we offer. If you need a registration form with more fields, contact your CSM or if you have a role of Global Admin, read the section Setting Up Custom Fields below.

When the member of your company completes the form correctly and clicks Join now, their status changes from PENDING to JOINED. The fields that the member completed in the registration form (e.g. Company name) would be completed on their profile.

Setting Up Custom Fields as a Global Admin

You need the role of a Global Admin to set up the custom fields that would appear in the registration form for the user who clicks the magic link.

  1. Go to Community > Members on the left-hand side menu.

  2. Go to Custom Fields tab and click Name your custom field.

  3. Add the necessary fields that you want to have in the registration form and define if it should be optional or mandatory.
