Creating an Email Notification

To create an Email Notification, click the Send Email Notification shortcut from the left-hand menu on Equiem One. This will open the Email Notification creation page.

Alternatively, if you are already in the Content Management System, navigate to the Communications tab from the menu at the top of the page. Select Email Notification, then In Progress.

 

Here you can view any Drafts you have started, or to create a new notification click the Create button.

Select the site you want to create the Email Notification for from the drop-down list. Press Select.

Your draft email will appear on the left-hand side with the site's branding applied to the header and footer.

Complete the fields on the right-hand side: 

  • Subject - Enter your chosen email subject line. There is a maximum character limit of 120.

  • Image - This is an optional field to be used if you need to add an image to your email. When uploading the image of your choice, please ensure that it has already been resized to no more than 600 pixels wide to ensure it displays correctly in the user's email account.

  • Message - Type your email text into this field. When you click on this box, additional formatting options will appear on a menu, so you can add text formatting such as bold, italic, underline and dot points, the same as a normal email. See our example below. You'll also see your text is added to your branded preview on the left-hand side as you make changes.

  • Attachments - This enables you to add any relevant attachments for example, a PDF of your fire evacuation procedure

  • Reply-to Address  - This enables you to choose who will receive any replies to your email. It will default to Equiem's Support team, but we recommend updating this to someone at your site to monitor any responses received.

If you’d like to segment the content to a specific user audience, use the Audience button to choose which segment your Email notification should be shared with.

The check box will enable you to send the Email Notification to all users, regardless of whether they have opted-in to receive newsletters. This check box must only be used when the Email Notification is for critical building announcements rather than marketing promotions.

You can send a Preview Email to one or multiple email addresses to check that the notification is coming through as expected. Simply type the email address(es) and click the Send Preview Email button.

When you’re happy with the notification you can choose to Send Immediately or to Schedule in advance. You can also Save Draft to come back to a notification later.

If scheduling, in the pop-up box pick the date and time in the future when you'd like your Email notification to send and click Apply and then Schedule.

You can Pause Schedule up until 15 minutes before the scheduled time to edit your Email notification.
