User Roles Overview
Equiem One operates on a role-based interface, different roles are able to perform different actions and see different widgets based on the role they have been assigned.
A role represents a predefined set of permissions throughout a region, site or building.
In the below article, you’ll learn what each role refers to on a standard Equiem platform and an overview of the various actions they can take. At the bottom of the article, we’ve also included information about non-role-based permissions required to access certain areas of the Equiem platform.

General Roles
Property Manager
Permission Level: Site/Instance
Role assigned by: Property Managers, Equiem Administrators
The Property Manager role grants access to all site settings, including:
User, Company, Building & Apartment Settings, including the ability to grant roles to other users
Segmentation Settings
Site Engagement Metrics
Visitor Management Settings
Bookings Configuration & Management
Request Management
This role is typically assigned to those who work for the building in a management position, for example, Property Managers, General Managers, Building Managers, and Marketing/Community Managers.
Depending on the access level required, this permission may also be granted to Receptionists and Front of House Team Members in order to manage the platform, for example, by inviting and approving new users.
Workplace Manager
Permission Level: Site/Instance
Role assigned by: Workplace Managers, Property Managers, Equiem Administrators
The Workplace Manager role grants access to settings and features for their respective company only, including:
User and company settings, including the ability to grant approved roles and groups to other users
Create content for their employees and suggest content for the wider community
Visitor Management settings including allocating receptionists and managing who can create appointments from their company
Create and manage bookable resources
Create and view requests and assign watchers in Request Management
Submit permits for their company
Access trending content and events data
This role is typically assigned to your Key Tenant Contacts or those who work in positions such as Office Manager, HR Manager or Facilities Manager.
You may also assign this role to your onsite/local retailers to enable them to create and share content with the building community.
End-user
Permission Level: Site/Instance
Role assigned by: N/A
A typical end user will have no role associated with their account. These are users who interact with the front end of the platform only as either a commercial, residential or visitor user.
There may be users who have access to more than one platform, for example, they may work at one location with an Equiem platform and be registered as a commercial user, and regularly visit another location with an Equiem platform where they are registered as a visitor.
An end-user has access to features including:
Liking, Commenting & RSVPing to content & events
Newsletters and communications
Answering polls
Ordering store products and finding deals*
Booking meeting rooms*
Inviting visitors*
Raising Requests*
*Additional modules required
Bookings Specific Roles
Bookings Manager
Permission Level: Building
Role assigned by: Property Managers, Equiem Administrators
The Bookings Manager role is specific to platforms with the Bookings module. It allows for a user to complete various actions relating to company owned resources in their assigned building(s), including:
Creating and managing resources
Managing block out dates
Viewing usage and reconciliation reports
Creating and managing bookings
Booking Observer
Permission Level: Building
Role assigned by: Property Managers, Equiem Administrators
The Bookings Observer role is specific to platforms with the Bookings module. It allows for a user to complete various actions relating to company owned resources in their assigned building(s), including:
Creating new bookings
Viewing upcoming bookings
Viewing usage and reconciliation reports
Accessing room panel screens
Request Management Specific Roles
Request Manager
Permission Level: Building
Role assigned by: Property Managers, Equiem Administrators
The Request Manager role is specific to platforms with the Request Management module. It allows for a user to complete various actions relating to requests in their assigned building(s), including:
Creating and viewing requests, including creating proxy requests
Assigning and editing requests
Managing requests including closing and adding comments
Request Assignee
Permission Level: Building
Role assigned by: Property Managers, Equiem Administrators
The Request Assignee role is specific to platforms with the Request Management module. It allows for a user to complete various actions relating to requests in their assigned building(s), including:
Viewing their assigned requests
Closing requests
Adding private and public comments to requests
Request Reporter
Permission Level: Site/Instance
Role assigned by: Property Managers, Equiem Administrators
The Request Reporter role is specific to platforms with the Request Management module.
The role allows these users to complete the following actions through the front end of the platform:
Create requests
View their own requests
Visitor Management Specific Roles
Receptionist
Permission Level: Building Reception or Tenant Reception
Role assigned by: Workplace Managers, Property Managers, Equiem Administrators
The receptionist role is specific to platforms with the Visitor Management module and is different to other roles in the Equiem One ecosystem as it is granted within the module itself as opposed to through the user settings.
This role allows users to complete the following actions for their assigned reception(s):
View and create appointments including on behalf of other users
Access to perform reception desk actions such as checking in/out visitors, adding card IDs, printing access passes, reissuing digital access passes and accessing/adding appointment notes
Export CSV files of reception desk view
General Permissions (non-role based)
Content Management System
Permission Level: Site/Instance
Permission granted by: Equiem Administrators
Content Management System permissions are granted to allow users to complete various actions in the CMS for their associated site(s), including:
Create content and set status to Draft & Needs Review
View and edit Campaigns
Set posts to Published
Unpublish or expire posts
Add posts to the Featured section
Create & manage custom homepage feeds
Create and send Email, Push and SMS Notifications
Permanently delete a post
Create post templates
Reporting

Permission granted by: Equiem Administrators
Reporting dashboard permissions can be granted to allow users to access data for their site, including:
