Company Management (and apartments..)
Company Management (and apartments...) is now available in Equiem One. Manage the profiles of companies (and apartments...) at your site both as a Property Manager and Workplace Manager.
Apartments are another entity similar to companies. These are used in mixed use properties, particularly in the UK. A site must first be enabled to allow residents to register (via Admin Panel) in order for the Apartments tab to show up. As such, most sites will never see it. But if your site currently is mixed use, it's there.
Accessing Company Management
This is done via the Settings
option in the left-hand menu and then via the Companies
tab on the main page.
Property Manager vs Workplace Manager
As mentioned in the user management release previously, we have a dependency to complete some additional permissions work before we can release the Workplace Manager side of this work. This is the case for both User Management & Company Management.
We are in the process of doing a number of updates to handle permissions, across our applications, and we're going to start on the above very soon. We anticipate it will be completed within the next month or two at which point we can release the Workplace Manager side of this work.
A Property Manager can view and manage all companies in a site context whereas a Workplace Manager can only manage particulars of their own company.
Company Table
At the top of the page, you can select the Companies
tab to view all companies. Similarly, if your site caters for residents, you'll see an Apartments
tab too. Apartments operate the same as companies and are not covered off in these release notes.
The company table identifies all of the companies at a site, the respective industry they are associated with and the # of users in the particular company (at the site in question).
The company table can be exported to csv by selecting the download icon in the top right of the table:
The export will include the following details:
Company name
Industry
Email domains
Levels
Searching Companies
Search applies to both company name and industry i.e. you can search for both Argent
(a company) or Construction
(an industry) and you'll find all the matches.
Creating Companies
If you're not familiar with our existing functionality in Admin Panel, we have a 'catalogue' concept for both companies and apartments. The benefit of this catalogue is that it saves you from creating companies from scratch and allows you to add pre-existing companies to your site, both individually and in bulk.
Create New
Select the + ADD COMPANY
button in the top right and you'll be presented with the following modal, allowing you to create a new company or add one from the catalogue.

Company Name
The name of the company. If we recognise that you're entering an existing company from the catalogue, we will notify you and you can add it to your site by selecting the ADD TO SITE
button:
Industry
Assign the company to the appropriate industry they belong to. The list of industries is predefined. The existing list is comprehensive but if a client does request an additional industry to be added then this can be done by Support. Please note that industries are regional and if a new one is being added to one region, it's best practice to add it to all other regions.
Attributes
These are used for segmentation purposes.
Email Domains
Adding approved domains allows new users to automatically be approved upon registration, if their email address matches one of the approved domains.
Adding them is as simple as adding the domain (everything after the @ symbol) and selecting the + ADD DOMAIN
button or clicking outside of the input field. If we notice you enter an @ symbol, we will show a warning. This is additionally mentioned in the help text.
Levels
Companies are now required to have a level associated with them in order to tie a company to a particular building at the site. Levels can only exist if a building is first created for the site. Buildings are created in Admin Panel (e.g. https://au.admin.getequiem.com/buildings) and will continue to be created there for now. Simply select the levels that the company belongs to in the form.
Add from Catalogue
As mentioned earlier, the quickest way to add companies to a site is to use the catalogue feature. Select the second option in the modal:

You can add multiple companies to your site at one time
When you add the company, you'll see a tag showing

and the button will change fromADD TO SITE
toREMOVE
. To revert adding the company, simply select theREMOVE
buttonAlternatively, as you'll see from the video above, you'll see a message at the bottom of the screen for each company you add. Within that message, you'll see the
UNDO
option. This also serves as an ability to remove the company from the site i.e. undo adding themIf you want to check if a company exists, simply use the search function at the top
Companies are ordered in alphabetical order
Once you've added a company via the catalogue, you'll see it in the company table if you close the catalogue. At that point, you can edit aspects of the company particular to your site
Editing Companies
Not all aspects of a company can be edited. Once a company is created, it goes into the company catalogue and then certain values of the company can only be edited by an administrator because they apply to the company across every site they belong to. The reason for this is to ensure data accuracy, particularly when it comes to the name and industry. You'll see on the edit form that certain values are read only.
Attributes, new Email Domains and Levels are site specific values and can be added/edited.
As a Property Manager
Editing a company is simply done by selecting the row of a company in the table or selecting the Edit
button in the operations menu:
As mentioned above, certain values are read only as illustrated in the example below:
New email domains can be added to a company but you cannot edit existing ones. A lock icon will be shown next to any values which are stored against the company:
Levels can be edited as and when required and are related to the company at the particular site.
As a Workplace Manager
The same applies for a Workplace Manager with respect to what can and can't be edited.
The only difference is how you edit the company details. A Workplace Manager won't see the full table of companies at the site, instead they'll see a button in the top right of the page called COMPANY SETTINGS
. Selecting this will open up the company form and allow them to make changes:
Removing Companies
Companies can be removed from a site. This is generally done when a company is no longer a tenant in the building. To remove a company, simply select the Remove
option in the operations menu:
